  • Do I need an access pass during build up and breakdown?

  • Yes, during the building and dismantling periods (Sunday 25th, Monday 26th & Thursday 29th of October 2019), access passes provided by RAI Amsterdam are mandatory to enter the exhibition halls. Click here to register --> if this url does not work, please refer to the RAI webshop and navigate to 'Access and safety' and then to 'Safety first'.

    Please note:
    • After registration you will receive a voucher with which you need to collect your access pass. Passes can be collected at the P9 Loge at RAI Amsterdam, and by using the Scan & Go machines at loading doors 1.2, 4.18, 5.13 and 6.4

    • This access pass is only valid during building and dismantling hours, it does not grant access to Offshore Energy Exhibition & Conference.

    If you forget to register for an access pass, you may still obtain one from the Hospitality Crew Centre. The Hospitality Crew Centre is located at the P3 Loge on the left side of the RAI building.

  • Where are the Scan & Go locations? Where can I pick up my access pass during build-up and breakdown?

  • The Scan & Go locations for access passes are located at the P9 Loge at RAI Amsterdam. You can also use the Scan & Go machines at loading doors 1.2, 4.18, 5.13 and 6.4.

    Please note these access passes are only valid during building and dismantling hours, they do not grant access to Offshore Energy Exhibition & Conference.
  • Where is the Hospitality Crew Centre?

  • The RAI Hospitality Crew Centre is located in the parking complex for P1/P2/P3. If you need to deliver something to the HCC, you can access the complex at P6. Click here for a map.

  • Can I buy a helmet at the venue?

    In case you don't have a helmet in your possession, you can buy them at the RAI Hospitality Crew Centre (HCC). There are several options:

    • Buy a package deal consisting the helmet and shoes;
    • Buy only the helmet or the shoes;
    • Rent only the shoes.

  • Can I buy safety shoes at the venue?

    In case you don't have safety shoes in your possession, you can buy them at the RAI Hospitality Crew Centre (HCC). There are several options:

  • Where are the elevators located?

  • How do I reach the exhibition hall? / How is the hall accessible?

  • Hall 1 - three passageways:
    • East side: door 1.1 - 3.80m (h) x 4.10m (w)
    • East side: door 1.2 - 3.80m (h) x 4.10m (w)
    • West side: door 1.19 - 8.00m (h) x 6.80m (w)

    Hall 2 - one passageway

    • Door 2.7 - 3.75m (h) x 6.90m (w)

  • What are the stand construction hours?

  • Full-service stands (full-service package)

    The set up times for full-service package stands are:
    • Monday 26 October 2020 | 9:00 - 18:00 hrs
    • Tuesday 27 October 2020| 7:30 - 9:30 hrs

    Please note:

    • On Monday, all stands are constructed by noon. Please note that other facilities, such as furniture and AV equipment, may take a bit longer to complete because of the large amount of stands.
    • All aisles must be free on Tuesday and Wednesday at 9:30 hrs.

    Custom made stands (space only package)

    The construction of custom made stands will take place on:

    • Sunday 25 October 2020 | 7:30 - 23:30 hrs
    • Monday 26 October 2020 | 7:30 - 18:00 hrs

    It is possible to apply for early build-up on Saturday 5th of October. If you wish to construct on Saturday, please refer to the RAI webshop in our Exhibitors Portal to book your meters.

  • What are the stand dismantling hours?

  • Full-service stands (full-service package)

    The clean up time for full-service package stands is:

    • Wednesday 28 October 2020 | 18:00 - 23:30 hrs

    Custom made stands (space only package)

    The deconstruction of custom made stands will take place on:

    • Wednesday 28 October 2020 | 18:00 - 23:30 hrs
    • Thursday 29 October 2020 | 8:00 - 18:00 hrs

  • Can I bring my own forklift?

  • You can bring your forklift to unload your truck outside the venue. Inside, forklifts are only allowed to be operated by CEVA Showfreight, our logistics partner. To order forklift services, please see the order form for CEVA in our Exhibitors Portal.
  • How can I unload heavy materials?

    • The organization offers a free forklift service to exhibitors who need help (un)loading small materials from and to their vehicles on P9 on Monday afternoon and Wednesday evening. This service is not for stand constructors and does not apply within the exhibition halls (only on P9).

    • Another option is to order forklift services from CEVA Showfreight, our logistics partner. To order forklift services please see the order form for CEVA Showfreight in our Exhibitors Portal.

  • Is there storage available for stand materials?

    • During the event, the organization provides a storage unit inside exhibition hall 3 (subject to change). Here, you may store your packaging materials, e.g. flight cases.

    • A few stand blocks have empty space in the middle, behind the stands. If possible, you may also store your packaging materials there. Please note that this storage is not meant for stand constructors and is unsupervised.

    • If you prefer a storage unit within your full-service stand, you can opt for a lockable corner storage. The costs for a 1x1 meter corner storage is € 220,-. Order a corner storage with your application form in the Exhibitors Portal.

    • For large and heavy equipment, our logistics partner CEVA Showfreight offers storage before, during and after the event. To order storage room, please use the CEVA order form in our Exhibitors Portal.

  • Where do I park my lorry/truck after unloading my equipment?

  • Do you wish to park a truck or a vehicle higher than 1.90 meters at RAI Amsterdam during an event? Please see Parking - Lorry Parking in the RAI webshop (accessible through our Exhibitors Portal) for more information and rates.


  • Are there porters available to help me carry my stand material?

  • Yes, the organization provides a free of charge porter service on:
    • Monday the 26th of October from 12:00 until 17:00 hrs

    Please note the porter service is no longer offered on Tuesday morning and Wednesday evening.

    The porters will help you carry your stand materials to your stand, from the parking garages P1 and P2. They can be recognized by their 'Offshore Energy' or 'CEVA' vests.

    • Unlike previous years, it is not necessary to have at least 2 people in the car to make use of the porter service
    • In P1, rows 1.1 until 1.3 (180 parking spaces) are reserved for porter service / exhibitor parking
    • In P2, rows 2.1 until 2.5 (230 parkings spaces) are reserved for porter service / exhibitor parking
    • In P1 and P2, signage will guide you to the designated area
    • Our porters will help you carry your materials, but they do not help setting up your stand
    • Pre-reservation of porters is not possible
    • Making use of the porter service is at own risk

  • What is the maximum build height?

  • The maximum height of the exhibition halls is 10 meters, but we advise to not build highter than 6 meters.

    Please note:
    • Stands located underneath the balconies have a maximum building height of 3 meters. The stand walls are 2,75 meters high.

    • These stands are marked on the floor plan with a green star.

  • What is the maximum floor load capacity?

  • The maximum floor load for halls 1 up-to-and-including 5 of RAI Amsterdam is 3,000kg per m2.

    Please note:
    • In addition, the maximum load for stands underneath the balcony in hall 1 is 500 kg per m2.

    • If you exceed this weight and/or cause damage to the floor, RAI Amsterdam reserves the right to invoice the cost of floor reparations.

    • If you wish to place heavy equipment on your stand, please contact our logistics partner CEVA Showfreight, You will find their order form in our Exhibitors Portal.

  • Where do I leave my waste?

  • Every exhibitor will receive three waste bags, one per day. New waste bags will be placed on your stand every morning from Monday until Wednesday. At the end of each day, we ask you to tie up and place the waste bags in front of your stand. From there, they will be retrieved and processed by the cleaning staff.

    Please note:

    • Only waste bags distributed by the organization will be retrieved and processed by cleaning staff on account of the organization (maximum of one per day).

    • If you have more waste, you are responsible for the collection and processing of the waste and charges will apply. If you or your stand constructor expect to have substantial waste from your stand you can order extra waste bags and/or a container in the RAI webshop, accessible through our Exhibitors Portal.

  • Where is my stand located?

    • If your stand number begins with 1, you stand is located in exhibition hall 1.
    • If your stand number begins with 2, your stand is located in exhibition hall 2.
    • If your stand number begins with 3, your stand is located in exhibition hall 3.
    • If your stand number begins with A or B, your stand is located under the balconies in exhibition hall 1.

    The standnumber also gives you information about the aisle it's located in. 1.100 stands are in aisle 1, 1.200 stands are in aisles 2, 1.300 stands are in aisle 3 etc.

  • Is security provided in the exhibition halls?

  • The organization will provide appropriate security in order to ensure the safety of visitors and exhibitors. Offshore Energy Exhibition & Conference is not responsible for any loss, damage or theft during the exhibition. The organization advises exhibitors to consider private security, but please note only authorized surveillance via RAI Amsterdam is permitted.

    Private security can be requested in the RAI webshop, accessible through our Exhibitors Portal.


  • Is security provided on the outdoor area?

    • Security on the outdoor area is only provided during the night and during the build-up and dismantling periods.

    • During the opening hours of the exhibition, security is not provided.

  • Can I get electricity on the outdoor area?

  • The outdoor area has no standard power supply. If you require electricity, please contact Mrs. Nancy Slob-Corpeleijn at service@offshore-energy.biz.
